Background

Below is a brief summary of the systems UBA uses for its high-level business functions:

·        Impexium– AMS

·        HubSpot– CRM/ email marketing/ ticketing & partner database

·        Kentico– Intranet & knowledge repository (i.e. Wisdom Network)

·        Higher Logic– Discussion forums & knowledge repository & partner database

·        Word Press– Public-facing website

·        AWS– On-demand hosting services & content repository

·        AdEase– Content repository for partner co-branded material

·        Excel Spreadsheets–Partner firm data & tracking purposes

UBA is looking to consolidate to fewer systems and integrate them to achieve greater efficiency, service delivery, and cost savings.

Project Scope

UBA is seeking an IT Project Manager contractor to lead and consult the organization through a multi-part IT assessment, gap analysis and implementation plan aimed at addressing unmet needs and eliminating inefficiencies and redundancies in its current suite of internal and partner-facing software platforms and services.  Core components of this assignment include:

o    Assessment of Partner Database and related components (i.e. AMS/CRM/Ticketing/marketing tool/public facing website)

o   GAP Analysis (ideal state needs vs. reality and how to bridge the gap)

o   Identification of secondary databases (excel spreadsheets, etc)

o   Assessment of Partner-Facing knowledge repository (i.e. intranet, discussion boards, centers for excellence, document management system)

o   GAP Analysis (ideal state needs vs. reality and how to bridge the gap)

o   Improve content security and access

Core competencies UBA is seeking in an IT Project Manager are as follows:

o  Broad technical understanding & proficiency
o  Problem solving ability

o  Skilled at asking “the right” questions of key stakeholders
o  Communication proficiency/ability to make complex simple
o  Ability to make connections and identify synergies
o  Business strategy aptitude
o  Expertise or proficiency in the following: Impexium, HubSpot, Microsoft 365, ZenDesk, Kentico, or other similar AMS and CRM tools

Deliverables

UBA anticipates the vendor will provide a report with information sufficient to make decisions concerning UBA’s IT infrastructure including a prioritization of recommendations on the above systems. UBA requests that the report include a phased plan, budget & timeline for addressing next steps relative to systems consolidation, phase out, implementation, etc.

Project Duration- September – October 2020

Submission Instructions

Proposals should highlight the vendor’s experience with the work described in this RFP including experience performing similar assessments for member or partner-based organizations along with 2-3 references.
